Get the group together. Make the plan clear.
A practical organiser’s checklist and a message to adapt: dates, experience, equipment questions and the final WhatsApp confirmation.

Choose one organiser, collect everyone’s actual experience and available dates, then send one clear request. Treat the outing as confirmed only after the team has agreed the details with you on WhatsApp.
Organising a surf outing often starts in a busy group chat. Someone suggests a date, somebody else shares a photograph, and the conversation quickly moves on to transport. Before anyone builds the day around an unconfirmed time, put the essentials in one place. This guide is a working note for the person coordinating the outing, not a group offer or a promise of availability.
Start with a shared note
Ask each person whether they want to participate or are only considering it. Keep the confirmed headcount separate from possible additions. Record the dates everyone can attend and any fixed departure time. A single organiser can then pass an accurate request to the team without several friends sending contradictory versions.
Leave decisions about the session format to the conversation with Wake Wave. Being friends does not automatically mean everyone needs the same instruction or that a particular number can join one session. If the headcount changes, update the request before assuming that the original arrangements still apply.
Collect useful details, not guesses
For each participant, note previous lessons and what they would like to practise. Ask whether anyone prefers to discuss their needs directly with the team rather than in the group chat. For equipment, ask Wake Wave which sizing details are needed; do not promise a particular board or wetsuit to a friend based on a photograph.
The current group lesson page lists two hours, with board, wetsuit and coach included, and a meeting point at Wake Wave in Anza. The exact time is confirmed with the conditions in mind. Group capacity, age arrangements, equipment availability and any special request still need a direct answer.
Separate the session budget from the outing budget
Ask for the final amount, currency and payment arrangements for the confirmed party. Do not assume a group discount, deposit rule or cancellation policy. Keep transport and meals in a separate line of your own plan so nobody mistakes the lesson price for the total cost of the day.
If friends are coming from different cities, agree who will arrange their own journey and who needs to coordinate arrival. Confirm the meeting time before making the last part of the travel plan. The organiser’s job is to keep the information consistent, not to guarantee transport or a session on behalf of the shop.
A message you can adapt
Hello Wake Wave, I am organising a surf lesson for [number] friends on [date or options]. Our experience is [brief description for each person]. We would like to work on [goals]. We can arrive during [time window] and need to leave by [time, if relevant]. Could you confirm a suitable format, availability, meeting details, equipment information needed and the final price and payment terms? Please also explain what happens if our headcount or the session plan changes.
Replace the brackets before sending. This is an enquiry template: sending it does not reserve places. Keep the team’s answer in the same conversation so the latest details are easy to find.
Send everyone the final version
Once the team has confirmed the arrangements, send your friends a short summary. Include what is agreed and what still needs an answer. If anything changes afterwards, return to the team rather than editing the plan only in your private group. The photo in this guide shows an archived group moment, not a standard participant count or a guaranteed experience.

Before you head to the beach
Is a group message a booking confirmation?
No. Wait for the Wake Wave team to confirm the actual arrangements on WhatsApp.
Can we add another friend later?
Ask the team before changing the confirmed party. Availability and the agreed format need to be checked again.
